Pickups & Transfers

Does your business offer transportation services, such as shuttles from hotels to your products or activities? If so, you can use the Pickups and Transfers feature to help manage your transportation services.

This article will walk you through both basic and advanced configurations for pickups and transfers. If your business is a smaller operation then you may want to follow the basic configuration. If you're operating in multiple cities and have a large number of pickup locations then you'll want to follow the advanced configuration.

Using the Pickups and Transfers feature, you can manage individual transfer locations, associate optional transfer costs, set transfer times, and assign transfers to individual products.

Basic Configuration


If your business is a smaller operation working in one city, offering your own pickups, and servicing products that are in one general area, then all you need are the basic pickups configuration settings.

1. Transfer Locations - Set up pickup and drop-off locations for your transfer services.
2. Transfer Details -  Transfer times and optional pricing for individual transfers.
3. Product Settings - Manage the transfer settings concerning individual products.
4. Display Settings (Optional) - Create Custom Labels

Advanced Configuration


Does your business do any of the following?
- Offer products that are spread apart across a large area (such as multiple cities, or the opposite ends of an island)
- Work with one or more 3rd party pickup or transfer services
- Services a large area and wants to divide pickup locations into zones
If so, then you'll want to follow the advanced configuration steps for managing pickups and transfers.  When setting up an advanced configuration of pickups and transfers, you'll want to set it up in the following order:

1. Transfer Zones - If you have multiple transfer locations within a reasonable distance of each other, you can create a transfer zone. For example, if there are multiple hotels or resorts that are in the same neighborhood, you could create a zone for that neighborhood.
2. Transfer Providers - Manage transfer providers who provide your business and customers with transportation services.
3. Product Zones - The area or region your product takes place is a product zone. For example, if you have products that take place on the North Shore of an Island, you could create a product zone called "The North Shore."
4. Transfer Locations - Set up pickup and drop-off locations for your transfer services.
5. Transfer Details - Transfer times and optional pricing for individual transfers.
6. Product Settings - Manage the transfer settings concerning individual products.
7. Display Settings (Optional) - Create Custom Labels
8. Import Transfer Zones and Locations (Optional) - If you're part of multiple Resmark business entities, you can import settings from one business to another.

Transfer Zones (Advanced Settings)



If doing an advanced configuration of Pickups & Transfers, Transfer Zones will be the first step you'll need to complete. If you're doing the basic configuration of Pickups & Transfers, you can skip down to Transfer Locations.

A transfer zone is a region where you would find multiple pickup locations such as hotels, landmarks, etc. This could be a city name or even a certain area within a city. You can also add a description if you need more information about any given transfer zone. In this step, you are simply defining what zones you have available, you will select your zones when you get to the transfer locations and transfer details steps.

Note: If you're not differentiating cost or time between pickup regions, you do not need to use more than one pickup zone.

Here is an example of multiple transfer zones that cover a large area. In this example, the business offers products in northern and southern Utah. The zones were named to reflect those differences, allowing easier zone management at a glance.

Transfer Providers (Advanced Settings)



If doing an advanced configuration of Pickups & Transfers, Transfer Providers will be the second step you'll need to complete. If you're doing the basic configuration of Pickups & Transfers, you can skip down to Transfer Locations.

Does your business hire 3rd party transportation services to help get your customers from a pickup location (such as a hotel) to the location of your products? If so, you can add those 3rd party transportation companies as a transfer provider. If not, then you can stick with the default transfer provider (which is your own company). In this step you are simply defining transfer providers, you will assign the provider in the Transfer Details step.

In the example below, you can see that this business has a 3rd party transportation service called "Jason's Van Rides" and below that, you can see their own business "Over The Top - Zipline Tours."

Product Zones (Advanced Settings)



If doing an advanced configuration of Pickups & Transfers, Product Zones will be the third step you'll need to complete. If you're doing the basic configuration of Pickups & Transfers, you can skip down to Transfer Locations.

If you offer a variety of products that are spread out across a large area (such as a city, state, or country), you can define those areas into Zones. For example, if your products are spread across an Island, you could create zones based on what part of the island this product is located (north shore, south shore, etc). In this step you are simply defining product zones, you will assign the product zone in the Transfer Details step.

In the example below, this business offers products in two different parts of Utah -- Salt Lake City, and Washington County. They have created the two product zones to reflect the areas their products and activities are offered.

Transfer Locations



Step four of the Pickups & Transfers advanced configuration. Step one of the Pickups & Transfers basic configuration.

Transfer locations are the locations that your customers can be picked up from. These locations can be hotels, landmarks, or any other area of your choosing.



Transfer Zone
If you followed the basic configuration, you'll only have one option on this step. However, if you're following the advanced configuration you'll have all of the Transfer Zones that you previously created to choose from. If you did choose the advanced configuration, select the appropriate transfer zone for the transfer location that you will be adding.

Location Name
Location name is the name of the place you are picking up your customer from (such as a hotel, a landmark, etc).

Meeting Instructions
Meeting instructions are to help your customers know what to expect or where to meet for the pickup location (example: hotel lobby).

+Add Address
It is optional to add an address, but it is recommended to prevent any confusion for your customers.

Once you've filled out all of the relevant information, save your transfer location.

In the example below, you'll see that this business took advantage of the advanced features to help create a wider variety of transfer zones for their transfer (pickup) locations.

Transfer Details


Step five of the Pickups & Transfers advanced configuration. Step two of the Pickups & Transfers basic configuration.

Using the Transfer Details feature, you will define the transfer times, costs, and more. This step is the core of all of your transfer and pickup settings.



Transfer Provider
If you followed the basic configuration, you'll only have one option on this step (your own company). However, if you're following the advanced configuration you'll have all of the transfer providers that you previously created to choose from. If you did choose the advanced configuration, select the appropriate transfer provider for the transfer detail that you're creating.

Transfer Zone
Just as the previous step mentioned, your options here will depend on if you're following the basic configuration or the advanced configuration. If basic, you'll have one option to choose from. If advanced, you can select any of the transfer zones that you previously created.

Product Zone
Once again, the options here will depend on if you went with the basic configuration or advanced configuration. If basic, you'll have only one option available. If advanced, select the appropriate product zone that this transfer detail should include.

Transfer Cost
Using Transfer Cost, you can determine if this is a complimentary transfer, or if and how much you will charge your customers.

Complimentary
There is no cost associated with this transfer, your customers just simply meet where and when they are instructed to.

Apply a Single Cost To All Price Tiers
If you charge a flat fee for transporting your customers (one way or round trip) regardless of your product price tier, simply enter a dollar amount in the appropriate field.

Apply Specific Cost To Each Price Tier
If the cost of transportation varies depending on the product price tier (adult, child, senior, etc), simply choose the price tier from the list and add a dollar amount in the appropriate field. If you need to add additional price tiers, simply select the +Add Tier Amount option.

Taxable
Should taxes be added to this pickup upon checkout? If so, select the appropriate tax. If you need to add an additional tax, you can do that from settings > taxes.

Default Transfer Time To Product
How many minutes before the product start time will your customers need to be ready for pickup? For example, if your pickup time is 6:30AM and your product start time is 7:00AM then you would set 30 minutes as your default pickup transfer time. 
If the time is different for every location in the zone, you have the option to set those individually in the Time Settings (located at the bottom of the new transfer details page). This default will only be used until you override each location with a specific time.

How many minutes after the product end time will it take to drop your customers off at the original pickup zone? 
If the time is different for every location in the zone, you have the option to set those individually in the Time Settings (located at the bottom of the new transfer details page). This default will only be used until you override each location with a specific time.

If selecting this option, simply save your changes and move onto the next step.
Set Individual transfer times for each location
The pickup locations available in this list are defined by which transfer zone you selected on the second step of this article. The pickup locations available were assigned to your transfer zone when setting up your transfer locations. Select the preferred transfer time to and from the product for each location.

Once you've configured everything, select the Save option.

Product Settings


Step six of the Pickups & Transfers advanced configuration. Step three of the Pickups & Transfers basic configuration.

Product Settings are used to assign your pickup and transfer settings to any applicable products. The options available in this step will depend on the settings you previously defined. In the example below, you'll see that some options will enable or disable drop-down menus. Below the example is a general breakdown of what each section of the Product Settings page does, and where that data is pulled from.



Product
A list of products that your business has created will be found on this page.

Transfer Settings
Do you want the transfer to be optional, required, or not offered at all? This setting is chosen on a product by product basis. If you ever need to disable or enable transfers you'll need to visit this page.

Product Zone
Any product zones you have assigned to a transfer detail will show up here. If you followed the basic configuration, then you should only see one option listed. If you followed the advanced configuration and created additional product zones, they will show up here (so long as they're assigned to a transfer detail, as previously mentioned).

Transfer Provider
If you followed the basic configuration, your business should be the only transfer provider listed. If you followed the advanced configuration, any transfer providers tied to a transfer detail will show up here.
Example: In the GIF above, you'll see that selecting the product zone "Washington County," gives me the choice of "Jason's Van Rides" or "Over The Top - Zipline Tours" in the transfer provider list. However, when I select the product zone "Washington County" it only gives me one option, "Over The Top - Zipline Tours." This is due to the settings found in transfer details_, as Washington County only offers one Transfer Provider, and Salt Lake City offers two._

Direction
Is this a round trip pickup, or one direction?

Display Settings (optional)


Using display settings, you can create custom wording for your pickup & transfer settings. We have pre-filled these fields for you with our recommended settings, but you're welcome to change these.

Import Transfer Zones and Locations


If you are part of multiple business entities using Resmark, you can import pickup and transfer settings from another one of your businesses. Simply select the business from the dropdown, and confirm the details that you will be importing.
